This policy explains what we collect, why, and what we do with it — including exactly how our text messaging works. If you only care about texts, jump to section 4.

02What this policy covers

This policy applies to myhooklabs.com, our chat widget, our email and text communications, and the services we deliver to clients. It explains how we handle personal information belonging to:

  • Visitors to our website.
  • People who contact us through our chat widget, by email, or by phone.
  • Clients who engage us to work on their Google Business Profile.

It does not cover any third-party website you reach by clicking a link on ours, or how Google handles data inside your own Google Business Profile. Your use of this site is also governed by our Terms & Conditions.

03Information we collect

3.1Information you give us

When you start a conversation in our chat widget, request a free map audit, email us, or become a client, we collect what you choose to send us. That typically means:

  • Contact details: your name, business name, mobile or landline phone number, and email address.
  • Business details: your trade, service area, city, website, and the keywords you want to rank for.
  • Message content: whatever you type into the chat, send by email, or say on a call.
  • Consent records: the date, time, IP address, and page URL where you gave consent to be contacted, plus a record of which consent boxes you ticked. We keep this to prove your consent was genuine.
  • Billing details if you become a client. Card details are handled by our payment processor and never stored on our systems.

3.2Information we collect automatically

When you visit the site we and our providers collect standard technical data: IP address, browser and device type, operating system, referring page, the pages you view, and how long you spend on them. This comes from cookies and similar technologies — see section 7.

3.3Client account access

If you engage us, you grant us manager-level access to your Google Business Profile and, where relevant, other marketing accounts. This lets us see and change your listing data, photos, posts, reviews and performance reports. We use that access only to deliver the service you hired us for. We never use it to move, merge or delete your listing without your written instruction, and we surrender access on request or at the end of the engagement.

04SMS and text messaging

This section explains our text messaging programme in full: how you opt in, what we send, what it costs, how to stop, and what we do — and never do — with your mobile number.

4.1How we obtain your consent

We only text people who have given us permission through the chat widget on myhooklabs.com. When you enter your phone number there, you are shown consent language and a checkbox, and you must actively tick it. We do not buy, rent, scrape, or otherwise acquire phone numbers from any third party, and we do not add numbers to our messaging programme from any other source.

Consent to receive marketing text messages is collected separately and is never a condition of purchase. You can use our service, get a free audit, and become a client without agreeing to marketing texts.

We keep a record of your consent — the date, time, IP address, page, and wording you agreed to — for as long as we message you and for [4] years afterwards.

4.2What messages we send

If you opt in, you may receive these categories of text message from us:

  • Conversational replies and audit results: our answers to the questions you asked in chat, and the map grid results we ran for you.
  • Appointment reminders and scheduling: confirmations, reminders, and reschedule requests for calls you have booked with us.
  • Marketing and promotional messages: offers, availability, and service updates — sent only if you ticked the separate marketing consent box.

4.3Message frequency

Message frequency varies. Conversational and appointment messages depend entirely on your activity — if you don't message us and don't book anything, you won't get any. Marketing messages, if you opted into them, are limited to approximately [4] messages per month.

4.4Cost

We do not charge you for text messages. Message and data rates may apply depending on your mobile plan and carrier. Check with your carrier if you are unsure.

4.5How to stop receiving texts

Reply STOP to any message from us at any time and we will stop texting you. You will receive one final message confirming that you have been unsubscribed, and then no further messages. You can also email [email protected] or call +1 912-491-6919 and ask to be removed.

Opting out of texts does not cancel your service agreement with us, and does not opt you out of email. If you later want texts again, reply START or UNSTOP, or opt in again through the chat widget.

4.6How to get help

Reply HELP to any message and we will reply with our contact details and support information. You can also reach us at [email protected] or +1 912-491-6919.

4.7Carriers and delivery

Carriers are not liable for delayed or undelivered messages. Delivery depends on your carrier's network and your handset, and we cannot guarantee that any individual message will arrive.

4.8We never share your mobile information

Mobile opt-in and consent — no sharing

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Information sharing to subcontractors in support services, such as customer service, is permitted. All other use case categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.

In plain terms: we do not sell your phone number, we do not rent it, we do not pass it to any partner, affiliate, data broker, or lead buyer, and we do not include it in any list that leaves our systems. The only parties who ever touch it are the vendors who physically deliver our messages and run our CRM on our behalf, and they are contractually barred from using it for anything else — see section 6.

05How we use your information

We use personal information to:

  • Reply to your enquiry and run the free map audit you asked for.
  • Book, confirm, and remind you about calls.
  • Deliver, maintain, and report on our services if you become a client.
  • Send marketing messages, where you have given separate consent.
  • Take payment and keep accounting records.
  • Improve our website and our service, and understand which pages work.
  • Keep records of consent, comply with law, and enforce our agreements.
  • Detect, prevent and investigate fraud, abuse, and security incidents.

We do not use your information to make decisions about you by automated means that produce legal or similarly significant effects.

06How we share your information

We do not sell your personal information, and we never have. We share it only with vendors who help us run the business, and only to the extent they need it to do their job for us. Each is bound by contract to protect it and to use it for no other purpose.

CRM & messagingHighLevel, Inc. (GoHighLevel / LeadConnector) — hosts our chat widget, CRM and message delivery.
SMS deliveryOur messaging provider's carrier partners, purely to transmit messages to your handset.
Email delivery[Your email provider, e.g. Google Workspace / Mailgun].
Analytics[Your analytics provider, e.g. Google Analytics] — see section 7.
Payments[Your payment processor, e.g. Stripe] — they receive billing data directly; we never see full card numbers.
HostingHighLevel, Inc. and its infrastructure providers.

We may also disclose information where we are legally required to — in response to a subpoena, court order, or lawful request from a public authority — or where we need to protect our rights, safety, or property. If our business is sold or merged, information may transfer to the buyer, who would remain bound by this policy.

The restriction in section 4.8 overrides everything in this section as far as mobile opt-in data is concerned: your phone number and SMS consent are never shared for marketing or promotional purposes with anyone, under any circumstances.

07Cookies and tracking

We use cookies and similar technologies to keep the site working, remember your chat session, and understand how the site is used. Categories:

  • Strictly necessary: required for the site and chat widget to function. These cannot be switched off.
  • Analytics: tell us which pages people read and where they leave, in aggregate.
  • Marketing: [state whether you run any advertising or retargeting pixels. If you run none — which matches the "no ads" promise on our homepage — say so plainly here.]

You can block or delete cookies in your browser settings, though parts of the site may stop working if you do. Most browsers also offer a "Do Not Track" signal; we currently [do not respond / respond] to it because there is no common standard for how to interpret it.

08Where your data is processed

We are a United States company, and our vendors store data primarily in the United States. Our team works remotely, and personal information may be accessed and processed by our personnel and contractors located in India and other countries outside the United States.

Those countries may have data protection laws that differ from the laws where you live. Wherever your data is handled, it stays subject to this policy, and our personnel and contractors are bound by written confidentiality and data protection obligations. Where the law requires a transfer mechanism — such as Standard Contractual Clauses for information originating in the UK or EEA — we put one in place.

09How long we keep your data

EnquiriesChat and email enquiries that don't become clients: [24] months from your last contact with us.
SMS consent records[4] years after you opt out or after our last message to you, to evidence consent.
Client recordsFor the engagement plus [7] years, to meet tax and accounting obligations.
Audit grids[24] months, so we can show before-and-after comparisons.
Analytics[14] months in aggregated or de-identified form.

When a retention period ends we delete the information or de-identify it so it can no longer be linked to you.

10How we protect your data

We use encryption in transit (HTTPS), access controls limited to personnel who need the data, multi-factor authentication on our accounts, and vendors who maintain their own security programmes. No system is perfectly secure, and we cannot guarantee absolute security. If a breach affects your personal information, we will notify you and any regulator as the law requires.

11Your privacy rights

Depending on where you live, you may have the right to:

  • Access the personal information we hold about you.
  • Correct information that is wrong or out of date.
  • Delete your information, subject to records we must keep by law.
  • Port your information to another provider in a usable format.
  • Opt out of marketing at any time — reply STOP to a text, click unsubscribe in an email, or email us.
  • Withdraw consent you previously gave, without affecting anything done before you withdrew it.
  • Be free from discrimination for exercising any of these rights. We will not refuse you service, charge you a different price, or give you a lower quality of service because you did.

To exercise any right, email [email protected] with the subject line "Privacy Request". We will verify your identity — usually by confirming details you already gave us — and respond within [45] days, or tell you why we need longer. You can authorise someone else to make a request for you; we will ask for proof of that authority.

12California privacy rights

If you are a California resident, the CCPA as amended by the CPRA gives you the rights listed in section 11, plus the right to know what categories of personal information we collect, the sources, the purposes, and the categories of third parties we disclose it to — all of which are set out in sections 3, 5 and 6.

We do not sell your personal information and we do not share it for cross-context behavioural advertising. We have not done so in the preceding twelve months. We do not sell or share the personal information of anyone under 16.

We do not use or disclose sensitive personal information for purposes other than those permitted under the CCPA, so no right to limit its use applies. To make a CCPA request, email [email protected] or call +1 912-491-6919.

13Children's privacy

Our website and services are for business owners and are not directed at children. We do not knowingly collect personal information from anyone under 18. If you believe a child has given us information, email [email protected] and we will delete it.

14Third-party links and services

Our site links to third-party sites, including Google. We don't control them and we aren't responsible for their privacy practices. Read their policies before giving them your information.

15Changes to this policy

We may update this policy as our services or the law change. The "Last updated" date at the top always reflects the current version. If we make a material change to how we handle your information — particularly anything in section 4 — we will notify you by email or text before it takes effect, where the law requires it. Continuing to use the site after an update means you accept the revised policy.
